As a general rule of thumb, here's how far in advance you should be thinking about your room block based on your event size:
Smaller events (under 50 rooms): At minimum 4 to 6 months out. In competitive markets, 8 to 12 months is safer.
Mid-size events (50 to 200 rooms): 6 to 12 months minimum. Start conversations with hotels as early as possible to lock in preferred properties.
Large events (200+ rooms): 12 to 24 months is the new standard. Major markets and peak dates can require even more lead time.
